1. The 60-second protection inventory
Check every layer you can already point to in writing.

Policies and renewal dates
Renewal dates you enter here are offered to your maintenance and renewal calendar for you to confirm.
2. Channel-by-channel coverage matrix
Add a row for every way a guest can book your unit, in your own words. Fill each cell with the policy, product, or platform term that applies, or leave it blank if nothing does.
3. Amenity & exposure register
List every amenity and exposure a carrier would want disclosed, and record whether each is covered or excluded.
4. Exclusions reader: find these five words in your policy
Open your actual policy form and look for each word. Check it once you have read what your policy says about it.
5. Written-confirmation record
Anything an agent says that is not on the policy form is not coverage. Record what you asked, who answered, when, and where the writing lives.
6. Major-change trigger sheet
Any of these can silently void last year’s answers. When one happens, re-confirm coverage in writing and update the matrix above.

For each way guests can book you, write down which protection applies to guest-caused damage, then read the actual terms behind it: the limit, the claim window, and what proof you keep.
The dates you set to re-read the terms are offered to your maintenance and renewal calendar, with the claim window in the note.
